We only aim to collect information that is reasonably necessary to operate our business and provide our services.
3. Information about your household
As part of a family preparedness review, you may provide general information about other members of your household.
Please avoid providing unnecessary identifying information about other people.
For example, it may be useful for us to know that your household includes two adults and two children. We would not normally need children's full names, exact dates of birth or other unnecessary identifying information.
Please only provide information about another person that is reasonably relevant to the preparedness guidance you are requesting.
4. Health and other sensitive information
Emergency preparedness can sometimes involve information about mobility, disability, health conditions, medication requirements or other vulnerabilities.
Health information is classed as special category personal data under UK data protection law and receives additional protection.
We do not require detailed medical histories. Please only provide health-related information where it is genuinely relevant to your emergency-preparedness needs.
Where we specifically ask you to provide health or other special category information, we will obtain your explicit consent where this is the appropriate legal condition for processing that information.
For the ordinary personal information necessary to provide your service, our lawful basis will normally be that processing is necessary to perform our contract with you or to take steps at your request before entering into a contract.
Where we rely on explicit consent for special category information, you may withdraw that consent at any time by contacting us. Withdrawal will not affect processing that was lawful before your consent was withdrawn.
5. How we use your information

6. Our lawful bases for using your information
Under UK data protection law, we must have a lawful basis for processing your personal information.
Depending on the purpose, we may rely on:
Contract — where processing is necessary to provide a service you have requested, administer your booking or take steps before entering into a contract with you.
Legal obligation — where we need to process information to comply with legal, tax, accounting or regulatory requirements.
Legitimate interests — where processing is reasonably necessary to operate, administer or protect our business, respond to enquiries, handle complaints or disputes, maintain appropriate records, prevent misuse or improve our service, provided that our interests are not overridden by your rights and interests.
Consent — where we have specifically asked you to consent to particular processing. Where we rely on consent, you may withdraw it at any time.
Where special category personal data is processed, we will also identify an appropriate additional condition under Article 9 of the UK GDPR.
For email marketing, we rely on your consent where you have actively subscribed to receive marketing emails from Practical Preparedness Ltd. You may withdraw this consent at any time by using the unsubscribe link in our emails or by contacting us.
7. Payments
Payments made through our website may be processed using Wix Payments and payment providers supporting that service.
These providers may process information required to complete and secure your transaction, including payment details, transaction information and fraud-prevention information.
Practical Preparedness Ltd does not normally need to receive your complete payment-card details. We may receive information such as confirmation that payment has been made, the amount, transaction status and information linking the payment to your booking.
Payment providers may also process information under their own legal obligations and privacy policies.
8. Wix and other service providers
Our website, online forms, contact database, online booking system, automations and email communications are provided through Wix.com. Personal information submitted through our website may therefore be processed using Wix systems.
We may also use trusted service providers to help us operate the business, including providers of:
-
website hosting and online booking;
-
payment processing;
-
email and communications;
-
video conferencing;
-
cloud and IT services;
-
security services; and
-
professional services such as accounting, legal or insurance services where required.
We only share personal information where reasonably necessary for the relevant purpose, where you have authorised us to do so, or where disclosure is otherwise permitted or required by law.
We do not sell your personal information.
9. International transfers
Some of the technology providers we use operate internationally and may process personal information outside the United Kingdom.
For example, Wix operates internationally and may process information through Wix companies and approved service providers in other countries.
Where UK data protection law requires safeguards for an international transfer, appropriate safeguards will be used. These may include transfers to countries covered by UK adequacy regulations or appropriate contractual safeguards for international data transfers.
10. How long we keep your information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected and to meet applicable legal, accounting, insurance and dispute-resolution requirements.
Our general approach is:
Financial and accounting records — retained for the period required by applicable company and tax law.
Booking records and ordinary business correspondence — retained for as long as reasonably necessary for customer service, contractual, accounting, insurance or legal purposes.
Preparedness questionnaires, consultation notes and personalised preparedness information — reviewed periodically and deleted or anonymised when they are no longer reasonably required to provide the service, agreed follow-up support, deal with a complaint or dispute, or meet another lawful requirement.
Special category information — retained only for as long as genuinely necessary for the purpose for which it was collected, unless another lawful reason requires it to be kept.
Information may be retained for longer where necessary because of an ongoing complaint, dispute, legal claim, regulatory requirement or other legal obligation.
Email subscriber information — retained while you remain subscribed or for as long as reasonably necessary to manage your subscription. If you unsubscribe, we will stop using your information for marketing. We may retain limited information necessary to record and respect your unsubscribe request.
11. How we protect your information
We take reasonable technical and organisational measures to protect personal information against accidental loss, unauthorised access, alteration, misuse or disclosure.
Access to customer information is limited to those who reasonably need it to operate the business or provide the service.
Our website and booking infrastructure are provided through Wix and associated service providers.
Although reasonable precautions are taken, no internet-based system can be guaranteed to be completely secure.
12. Cookies
Our website uses cookies and similar technologies.
Some cookies are necessary for the website to function. Other cookies, including certain analytics or marketing technologies, may require your consent.
Where consent is legally required, non-essential cookies will only be used after the appropriate consent has been obtained.
You can manage your preferences through the cookie controls available on our website.
Further information about cookies may also be provided through our website's cookie settings or Cookie Policy.
13. Marketing
If you subscribe through our website, we may send you occasional emails containing practical preparedness advice, useful UK preparedness updates, free checklists and other resources, and information about Practical Preparedness Ltd services.
Where we rely on your consent for marketing, you can withdraw that consent at any time by using the unsubscribe link included in our emails or by contacting us.
If you unsubscribe, we will stop sending you marketing emails. We may retain limited information necessary to record and respect your unsubscribe request.
Messages relating to an existing booking, payment, consultation, enquiry or service are service communications and are not treated as marketing simply because they are sent electronically.
14. Automated decision-making
We do not currently use solely automated decision-making about customers that produces legal or similarly significant effects.
15. Your data protection rights
Depending on the circumstances, UK data protection law may give you the right to:
-
be informed about how your personal information is used;
-
request access to personal information we hold about you;
-
ask us to correct inaccurate or incomplete information;
-
request deletion of your information in certain circumstances;
-
request restriction of processing in certain circumstances;
-
receive or transfer certain information in a portable format;
-
object to certain uses of your information, including the use of your personal information for direct marketing; and
-
withdraw consent where we rely on consent.
These rights are not absolute and some only apply in particular circumstances.
If you wish to exercise any of your data protection rights, please contact us using the contact details at the beginning of this Privacy Policy.
16. Complaints
If you have concerns about how we use your personal information, please contact us first so that we have an opportunity to investigate and resolve your concerns.
You also have the right to complain to the UK's data protection regulator:
Information Commissioner's Office (ICO)
Website: www.ico.org.uk
You do not have to contact us before making a complaint to the ICO.
17. Links to other websites
Our website may contain links to websites or services operated by other organisations.
We are not responsible for the privacy practices of those organisations. We recommend reviewing their privacy information before providing personal information to them.
18. Changes to this Privacy Policy
We may update this Privacy Policy if our services, suppliers, business practices or legal obligations change.
When we make changes, we will update the Last updated date at the top of this page.
